9.1 Signing in

v1.3 · Updated

Use the sign-in page to get into PharmaERP at the start of the day and to sign out at the end of it. Every PharmaERP user needs it, from purchase and sales staff to warehouse staff, managers and administrators. For staff, signing in also records the start of the working day on the punch card and signing out records the end. This page also explains what to do when the sign-in refuses you, when your sign-in ends while you work and when you see Access Denied or an error page. If you cannot sign in or cannot open a page, the quickest route to a fix is Sign-in problems.

1 Before you start

You need the following. Your administrator arranges all of it.

  • An active employee record with your work e-mail address and a password. Administrators create it in Members.

  • A role with the right ticks, so you can open the pages you need. Administrators set the ticks in Roles.

  • Only if your company uses it: IP Access switched on for you and an office location, so you can sign in from the office only. See Access Locations.

  • Only if your company uses it: Time Access switched on for you and a shift, so you can sign in during working hours only. See Access Shifts.

No role tick is needed to sign in. Any active employee with the right password can sign in, even if the role has no ticks. The ticks only decide which pages open afterwards.

To open the sign-in page, open the PharmaERP address your company gave you in your web browser. The page also opens by itself whenever you open a PharmaERP page while you are not signed in.

The sign-in page on a desktop

On the sign-in card you see Email ID, Password, the Login / Punch-In button and the Forgot password? strip. On a phone the company panel is hidden and the card fills the screen.

2 Step by step

2.1 Sign in at the start of the day

  1. Type your work e-mail address in Email ID. Upper and lower case do not matter and spaces before or after are ignored.

  2. Type your password in Password. The case of the password matters. Click the eye button on the right if you want to check what you typed.

  3. Click Login / Punch-In or press Enter. The button is greyed out while it works, so it cannot be sent twice.

The system checks your e-mail address and password and that your account is active and not locked. If your administrator switched them on for you, it also checks that you are at an allowed office address and inside your working hours. Each try, successful or not, is recorded. An administrator can read the record in Login Security.

For staff, a successful sign-in records the start of the day on the punch card on weekdays. On Saturday and Sunday no start time is recorded.

After a successful sign-in you see the Dashboard. If your previous sign-in ended while you were on a page, you come back to that page instead.

If the sign-in fails, the sign-in page comes back with a red message box above the fields. See Messages you may see.

Clicking Login / Punch-In with empty fields shows a red message box
An Email ID that is not an e-mail address is refused

2.2 If you forgot your password

You cannot reset your password yourself in this version. No reset e-mail is sent, even though the form says "Reset access with your registered email".

  1. On the sign-in page, click Reset in the Forgot password? strip. The card changes to Reset password.

  2. Type your registered e-mail address in Registered Email.

  3. Click Submit. To go back without sending, click Back.

  4. The sign-in page comes back with the message "Password reset is not enabled yet. Please contact administrator." Nothing is sent and nothing is recorded.

  5. Ask your administrator to set a new password for you on your employee record in Members.

The Reset password form
Submit with an empty field shows Email is required.

2.3 Help a colleague who cannot sign in (administrators)

  1. Ask for the exact message on the red box and the time of the try. Find the message in Messages you may see to see the cause.

  2. Open Login Security to read the sign-in history. It shows who tried, when and why a try was refused.

  3. Fix the cause on the page that holds it:

    • Wrong or forgotten password or an account that is switched off: Members.

    • "Unauthorised location": the person's office location and its addresses in Access Locations and the IP Access switch in Members.

    • "Time period expired": the person's shift in Access Shifts and the Time Access switch in Members.

    • Access Denied: the page ticks in Roles.

  4. Ask the person to sign out with the green button and sign in again. Rights are read only when a person signs in.

For the full symptom-to-fix list, see Sign-in problems.

2.4 If your sign-in ends while you work

A sign-in ends after 30 minutes without any activity, when an administrator ends your session in Login Security or when your password is changed. The sign-in ends on your next action, not at the moment the administrator acts. If you then press a button that needs the server, such as Save, a red Signed out message appears at the top of the page.

  1. Copy anything you typed and have not saved.

  2. Click Sign in again. The sign-in page opens.

  3. Sign in as described above. You come straight back to the page you were on, not to the dashboard.

  4. Paste what you copied and save again.

If you open a page from a bookmark while you are signed out, the same happens: after you sign in, you land on that page. The way back works once, for you only, within 8 hours and only for pages of PharmaERP. If a different person signs in on the same browser, that person sees the dashboard.

2.5 If you see "Access Denied"

Each page needs a tick in your role. If the tick is missing, the system shows the Access Denied page. It does not say which tick is missing.

  1. Use the menu on the left to go back to a page you can use.

  2. Ask your administrator for the right. Tell them which page you tried to open.

  3. Administrators: open Roles, find the person's role and tick the page. Save.

  4. After the change is saved, the person signs out and signs in again.

2.6 Sign out at the end of the day

  1. Save your work.

  2. Click the green button at the far right of the top bar. Its tooltip reads "sign out / punch-out".

  3. The sign-in page appears. You are signed out and the end of the working day is recorded on the punch card.

The Logout item in the menu under your picture and in the phone menu, does not sign you out. It only takes you back to the dashboard. Always use the green button, especially on a shared computer.

3 Messages you may see

3.1 On the sign-in form

Message

What it means

What to do

Enter Your EmailID and Password.

You clicked Login / Punch-In with a field empty or invalid. Nothing was sent.

Fill in both fields.

EmailID is required.

Email ID is empty.

Type your e-mail address.

Please enter a valid email address.

Email ID is not an e-mail address.

Type the full address, for example name@company.com.

Password is required.

Password is empty.

Type your password.

Invalid email or password.

The e-mail is unknown, the password is wrong or your account is switched off. The message is the same on purpose.

Check the e-mail, the password and Caps Lock. After 5 wrong passwords in a row your account locks. If you are sure they are right, ask your administrator to check that your account is active in Members.

Too many failed login attempts. Please try again later or contact administrator.

Your account is locked for 15 minutes after 5 wrong passwords in a row. While it is locked, even the right password is refused.

Wait 15 minutes, then type your password carefully. Administrators can see the tries in Login Security.

Unauthorised location

Your e-mail and password are right, but you are not at an office address allowed for you. It also appears when your office set-up is incomplete, for example you have no office location or several and none is marked as primary.

Sign in from the office network. Administrators: check the person's office location and addresses in Access Locations and the IP Access switch in Members.

Time period expired

Your e-mail and password are right, but it is outside your working hours or today is not a working day in your shift.

Sign in during your shift. Administrators: check the shift, its days and hours in Access Shifts and the Time Access switch in Members. A shift with no days set up refuses everyone.

Something goes wrong. Please try again and contact administrator if the problem continues.

An unexpected error during sign-in.

Try once more. If it repeats, tell your administrator the time it happened. Administrators: look for the error in the Error Log and send it to support.

3.2 On the Reset password form

Message

What it means

What to do

Email is required.

Registered Email is empty or not an e-mail address.

Type the address or click Back.

Password reset is not enabled yet. Please contact administrator.

You clicked Submit. Passwords cannot be reset on this page.

Ask your administrator to set a new password in Members.

3.3 After you have signed in

Message

What it means

What to do

Signed out - Your sign-in has ended, so this page cannot load or save anything.

Your sign-in ended while you were on a page: 30 minutes idle, your session was ended by an administrator or your password was changed.

Copy unsaved text, then click Sign in again. See If your sign-in ends while you work.

AccessDenied

You opened a page your role has no tick for.

Ask your administrator to tick the page in Roles. Sign out and sign in again after the change.

You have no enough permissions to request this resource.

A page asked for data your role is not allowed to read. A grid or list may stay empty.

Ask your administrator to check your role in Roles. Sign out and in again after the change.

The sign-in page appears by itself while you work

Your sign-in has ended and you opened a new page or a page loaded in place of data.

Sign in. You return to the page you were on.

An error page instead of a PharmaERP page

An unexpected error. The error is recorded.

Tell your administrator the page and the time. Administrators: find the error in the Error Log and send it to support.

4 Troubleshooting

4.1 I typed the right password and it still says "Invalid email or password."

If you are a user:

  1. Check Caps Lock and check that the e-mail is the one on your employee record.

  2. Try once more. Do not keep trying: 5 wrong passwords in a row lock the account for 15 minutes.

  3. If it still fails, ask your administrator to check that your account is active and to set a new password.

If you are an administrator:

  1. Open the person's record in Members. Check that the e-mail is exact and that the account is active.

  2. Set a new password if needed.

  3. Open Login Security and check the latest tries for the reason.

4.2 I am locked out and the 15 minutes are over, but I am locked again at once

After a lock-out, the count of wrong passwords is cleared only by a successful sign-in. So one wrong password after the 15 minutes locks the account again for 15 minutes.

  1. Wait the 15 minutes.

  2. Type your password slowly and check Caps Lock before you click Login / Punch-In.

  3. If you do not know the password, ask your administrator for a new one. See Members.

4.3 "Unauthorised location" or "Time period expired"

These messages mean your password was right. Do not keep retrying the password.

If you are a user:

  1. For "Unauthorised location", sign in from the office network, not from home or a mobile network.

  2. For "Time period expired", sign in during your shift.

  3. If you are at the right place and time, ask your administrator to check your set-up.

If you are an administrator:

  1. Open the person's record in Members. Check the IP Access and Time Access switches.

  2. Check the person's office location and its allowed addresses in Access Locations. The address must match the one the person signs in from.

  3. Check the shift in Access Shifts: the days, the hours and that the shift is assigned.

  4. Overnight shifts count after midnight, including the end of the day before.

  5. Ask the person to try again.

The office-address and working-hours checks run at sign-in only. A person already signed in is not thrown out when the shift ends.

4.4 I am signed in, but a page shows Access Denied even though my role has the tick

  1. Sign out with the green button and sign in again. Your rights are read only when you sign in, so a new tick does not work before that.

  2. If it still shows Access Denied, tell your administrator the page name.

  3. Administrators: check the role in Roles. If the tick is there and the page is still refused for everyone, send the page name and the time to support and include the entry from the Error Log.

4.5 The sign-in page keeps coming back or a grid stays empty

  1. Your sign-in may have ended. Click Sign in again if you see the red Signed out message or sign in again from the sign-in page.

  2. If an administrator ended your session in Login Security or changed your password, sign in again with the current password.

  3. If the sign-in page keeps coming back right after you sign in, tell your administrator the time. They can read the tries in Login Security and the Error Log.

4.6 I cannot sign out

Use the green button at the far right of the top bar. The Logout item in the picture menu and in the phone menu does not sign you out. If you used it, you are still signed in. Go back and click the green button.

4.7 I closed the browser without signing out

Your sign-in is not closed and no punch-out is recorded. At your next sign-in the system closes the open punch at 17:00 of that day with the note "System Punch-out". If the real time matters, ask your administrator to correct the punch card.

4.8 I cannot sign in at all and none of the above fits

  1. Write down the exact message and the time.

  2. Follow the list in Sign-in problems.

  3. Administrators: check Login Security and the Error Log, then send both to support.

5 Good to know

  • After a lock-out, one more wrong password locks you again at once. After the 15 minutes, type your password carefully.

  • "Unauthorised location" and "Time period expired" mean your password was right. Do not keep retrying the password. The issue is where or when you are signing in.

  • Your rights are read only when you sign in. After your administrator changes your role, sign out with the green button and sign in again. The same is true for company settings: a change reaches you at your next sign-in.

  • An administrator who ends your session in Login Security or a password change, signs you out on your next action, on every browser you use.

  • You can be signed in on two browsers at once. Signing in somewhere else does not end the first session, so sign out on each one.

  • Closing the browser does not punch you out. At your next sign-in the system closes the open punch at 17:00 of that day with the note "System Punch-out". Sign out with the green button to record the real time.

  • Signing out records the end of the working day for every user. Signing in records the start of the day for staff on weekdays only.

  • On a shared computer, always sign out with the green button.

  • The Access Denied page does not say which tick is missing. Tell your administrator which page you tried to open.

  • Do not rely on the office-address check alone to keep people out. If you need strong control over who can sign in, also keep passwords private and end sessions in Login Security when someone leaves.

  • Creating employees and passwords is in Members. Rights are in Roles. Sign-in history and sessions are in Login Security. For errors, see the Error Log.
